Improvement of School

Administration through use of ICT

Dr. Farhana Khurshid

ICT in Education
In the current information age, education institutions
are expected to play a crucial role as the engine for
knowledge generation and learning environment.

Information and communication technology (ICT)

becomes the vital means to facilitate this process.

ICT has become an important part in our everyday

life, therefore, its integration into education cannot
be avoided.
ICT in Education
ICT has become a most important factor in school
improvement, not only for teaching and learning but
for administrative use as well.

ICT applications in education can be considered as

an effective enabler to create, access, store,
transmit and manipulate different information in
audio and visual form.

ICT components include, print media, electronic

media, telephone, email, fax, and computers.
What the school administer need to
know?
How to use Microsoft Office (Microsoft Word,
Excel, PowerPoint)
How to use the Internet
How to use e-mail
The status of technology on their campus
Facilitation of ICT in School administration

There are numerous ICT tools but today’s focus is,

Computer
Internet
Email
EMIS
Computer
Computers
Computer can help in running school administration
smoothly and effectively.

Records can easily be updated and kept up-to-

date, complete in all respects and with quite
accuracy.

 Computers are used to speed up the processing of

clerical operations to reduce the amount of manual
work involved in the school administration process.
Computers

Writing applications/letters
(templates)
Computer

It can be used during

the admission procedures,
storing of officials and
students' records etc.
Computers for exam records

Examination record
Student drop-out and additions
School/class timetable
Accounts: fee and scholarships
Accounting department in a school would need a lot
of papers and working hours to handle school
financial records, e.g. fee and generally everything
that costs money.
Computers help administration deal efficiently with all
these financial records expenses and calculating
budgets.
Using a variety of software programs, the accounting
department handles hundreds of different financial
records at the same time.
School Library
To keep track of all the books and other
materials in the school library, librarians can use
a computerized system to control the book
ordering data, i.e. number of books ordered,
date of arriving, modalities of paying and other
details.

The computer also helps cataloguing books and

providing storage and retrieval data.
Library management system
 Computers facilitate decision-making
processes as they can compare and
generate different statistics and reports.
They can also save administrators
valuable time which they can spend
solving other school concerns.
Internet
Internet

Internet provide the access to valuable online

resources of data and tools that can be useful for
teachers, students and administration.

Web-based or internet based searching,

communicating and managing material help in
improving organisation’s performance.
Internet

Internet is the most dominant enabler towards

better, faster and cheaper approach in
operating and managing daily administration
tasks such as
a.information processing,
b.information transferring,
c.information storing and information retrieving.
The school administrator need to pay more
attention to give knowledge and information
access on the internet based educational
applications and tools to all academic and
non-academic staff.
Email
Email

Email (electronic mail) has

revolutionised communication in
every work place including schools.
 For school principals, who are confronted
with a multitude of daily issues, meetings,
and crises that demand their attention,
e-mail helps address minor issues so they
can devote more time to the most pressing
and serious problems.
Email
 Send e-mail to inform staff about upcoming campus news,
decisions, and meetings.

 Use e-mail to communicate with faculty, parents, students,

and community members.

 Use e-mail to arrange departmental meetings, distribute

curricular materials, instructional resources, and content-
specific websites.
Email

It provides written documentation.

It can be written quickly and sent at any time and

place.

It allows you to communicate virtually with anyone.

It is easy to organize, print, and store

EMIS
Educational Management and Information
System
Educational Management Information System;
EMIS
The acronym EMIS stands for "Educational
Management Information System".

By definition an EMIS is an organized group of

information and documentation services that
collects, stores, processes, analyse, and
disseminates information for educational
planning and management.
What is EMIS?
EMIS is state-of-the-art, windows based, modular
system designed in a fashion to accommodate all
the procedural and working requirements of any
educational institute especially the Schools.

EMIS is based on the Distribute Database

methodology in which different campuses of any
school system located at different geographical
locations can maintain their data on their own sites
with an option to combine this data with the other
campuses at some central site.
What is EMIS?

At the central point or site, information can be

retrieved campus wise and a consolidated view of
information from all the campuses can be achieved.

It is a system for managing a large body of data

and information.
EMIS
As the potential users of data, managers are
systematically provided with accurate and timely
information so that decision-making, planning,
project development and other management
functions and operations can be carried out
effectively.
EMIS
The main purpose of an EMIS is to integrate information
related to the management of educational activities,
and to make it available in comprehensive yet succinct
ways to a variety of users.
These include teachers, principals, curriculum planners,
inspectorate officials, financial controllers, planners,
policy advisers and political leaders, as well as parents
and students.
In this way, the combined information resources of the
EMIS are at the service of the entire community.
Objectives of EMIS

To improve capacities in data processing, storage,

analysis and supply of educational management
information so that education planners and
administrators can avail themselves of reliable and
timely data
To provide information for policy dialogue and
scenarios for development of the education system
