How to supervise a pharmacy

Every batch received should be checked to ensure that the
products delivered are compatible with the products
ordered, this is done by making a comparison between
order list information and the details of the products to
ascertain that they are the same. These details include:
• Item (drug) name
• Company name
• Count of the items
• Dosage form & strength
Also, expire date should be noticed to be sure that they
are not expired.
Ascertain building maintenance
Drugs are exposed to contamination/deterioration if they stored in
inappropriate conditions leading to decreased efficacy/increased
toxicity of the drugs. So supervisor should ascertain that each drug is
stored in suitable storage conditions, including:
• Clean place
• Suitable temperature
 Building temp. (15 - 25 ℃)
 Cool place (8 – 15 ℃)
 Refrigerator (2 – 8 ℃)
 Freezer (-15 – 0 ℃)
• Suitable humidity
• Away from sunlight
Any deteriorated drugs should not be dispensed.
Stock management
 Stock cards are the main tool used to control the stock
and incoming/outgoing products, it is useful for making
an inventory and this inventory should be fully
compatible with the physical inventory done in the
pharmacy.
 The inventory should be done regularly (every week or
month) or before receiving of an order. It is used to
identify total amount of stock and identify excess,
shortfalls, spoiled and expired drugs.
 Excess (if they soon expired) & expired drugs should
be returned to the supplier (if possible).
Prescriptions/advice supervision
Supervisor must be sure that each drug is dispensed
accurately (as in the prescription & make sure that
the drug(s) suitable for the patient) , and inform the
patient about:
 Why this drug is indicated
 Its method and time(s) of administration
 Its desired effect (and after how long)
 Its possible side effects (and when the patient
must discontinue taking the drug)
Data analysis

Date obtained from the order lists and inventories

are indicators for the consumption of a specific
drug in a population, so the may be useful to
predict the possible profit, losses, and needs of the
pharmacy at a specified period of time to optimize
the management of the pharmacy.
