Definition of A
Project Proposal
 A project proposal is a detailed
description of a series of activities
aimed at solving a certain problem.
 A project proposal is a document that
presents a plan of action and the
reasons for that action.
 A project proposal is a detailed and
directed manifestation of the project
design.
 A project proposal is a document which
you present to potential sponsors or
clients to get your project approved.
Features of A
Project Proposal
The following are the important features of
a good project proposal:
Compelling Content
Your bid is the initial contact you have
with the client. Therefore, try to wow
them with compelling content, and give a
lasting impression. You should indicate
how the work will be done and stick to the
project requirements.
Flawless Language
Your client is the recipient of your
proposal. To get his approval, you should
prepare a decent one with keen detail in
grammar, spelling, other language-related
flaws.
 Client-Focused
In a competitive world, and everyone
wants to place and win as many bids as
possible. In this regard, you should try to
customize your proposal to suit every
client. Also, be human and start your
proposal with a salutation.
 Direct Message
A paragraph is long enough to send your
message to your client. So, say as much as
you want to say about yourself in just a
few sentences. You can then request the
client to contact you for more details.
Steps in Writing A
Project Proposal
1. Define the project and establish a
working title.
2. Introduce the problem to be addressed.
3. Propose a detailed solution.
4. Explain why your solution is the best.
5. Present the proposed task schedule.
6. Present the proposed budget.
7. Identify the key personnel who will
work on the project.
8. Write the first draft of full proposal.
9. Provide references and appendixes.
10. Proofread and edit the final draft of
full proposal.
Format of A
Project Proposal
 Title
It contains the title, author’s name,
and date of submission.
 Executive Summary
The summary should include
information about the brief
identification and purpose of the
organization, the anticipated end
result of the proposal, and the total
anticipated budget. It should remain on
a separate page and not exceed one
page. It is written for those readers
who will not read the entire document.
 Introduction
The introduction can include
information such as the purpose of
the organization, a description of its
activities, a description of its target
population, and evidence to show that
it is a healthy organization. It is best to
begin the introduction by explaining
how and why the organization was
founded. It is also a good idea to
provide a mission statement of the
organization for the guidance and
reference of the readers.
 Needs/Problems
Identify the needs or problems to
be addressed. Include the target
population and any statistical
information that are available.
Ideas to include here are:
• Length of time needs/problems have
existed;
• Whether problem has ever been
addressed before, and what the
outcome was; and
• Impact of problem to target and
surrounding populations.
 Goals and Objectives
This section includes three specific
and measurable goals and objectives to
address the needs or problems stated
above. It also includes key benefits of
reaching goals and objectives.
 Procedures/Scope of Work
This section provides detailed
information about proposed
procedures, if available, and the scope
of work. It includes information on
activities such as recruiting, training,
testing, and actual work required.
 Timetable
This section provides detailed
information on the expected timetable
for the project. It breaks down the
project into phases, and provides a
schedule for each phase.

Executive Summary
Over the past few months there have been
numerous communication problems among the
personnel of AMA Computer College-Manila
especially with their School Director. The adequacy
and efficiency of the existing communication system
are not suitable to their present organizational
structure. Thus, personal and professional growth of
the personnel within the company is affected because
of this existing poor communication system.
The primary goal of Don Jeung Protégé (DJP)
Consultancy Firm is to develop and implement a New
Brand Communication System for AMA Computer
College-Manila to improve their personal and
professional relationship for the satisfaction of their
clients and betterment of the whole institution.
Introduction
DON JEUNG PROTÉGÉ (DJP) is a consultancy firm
specializing in communication management. It
operates under the leadership of MR. DOMINGO S.
SAGNIP JR. who also serves as its President. It has a
group of professional consultants in the different
fields of communication and technology who serve
also as its professional staff. As of now, DJP is
continuously serving its clients not only here in Metro
Manila but also in the nearby provinces in Luzon.
The firm proposes to engage a COMMUNICATION
MANAGEMENT CONSULTANT (CMC) to supervise,
design, and recommend the BRAND NEW
COMMUNICATION SYTEM AT AMA COMPUTER
COLLEGE-MANILA to address their current problem in
communication system.
Needs/Problems
AMA Computer College-Manila is part of the
AMA Education System that caters the needs of the
students in terms of information and communication
technologies. It offers courses in information
technology, computer engineering, and computer
science which all require to use modern and up-to-date
communication technologies.
The School Administrator is the branch head of
the campus. She is responsible for the effective
implementation of the academic and administrative
policies of the school. She is also tasked to maintain
the harmonious relationship of all the people within
the campus. But, she does not perform her duties and
responsibilities well that is why certain problems
come into play. It is manifested in the current
situation of communication system within the campus
that leads always to long delays in information
dissemination and poor decision making.
As a branch head, you must know how to
implement the proper communication system to your
personnel down to your clients to avoid any
inconvenience to the flow of services offered by your
company. You must also know on how to deal the
problem within your bench using proper
communication system.
Goals and Objectives
The following are goals and objectives of the project
proposal:
1. Propose a comprehensive communication strategy
for better personnel relations management of the
company.
2. Develop and implement a brand new
communication system to develop and deepen the
professional relationship among the employees of
the company.
3. Enhance the capacity of the employees in terms of
personal and professional aspects through brand
new communication system.
Procedures/Scope of Work
The scope of work will be built around the following
deliverables:
1. Comprehensive Communications Strategy that:
a. Articulates an achievable set of addressable
persons within the company for the best avenues
and outlets to reach their problem.
b. Assesses current organizational structure
through its programs, services, and policies.
2. Recommendations for new set of guidelines to build
a harmonious relationship among the personnel
within the company.
3. A developed plan for refreshing communication
messages and implement a timeline for the new
communication system for the company.
The following are the components of our consultancy
project:
1. Brand New Communication System
The driving element of our firm is to change the
communication system of the company–including
organizational values, programs, faculty, staff, and
students. Introduce a good and clear tone of
communications and events in relation to
company’s vision and key goals.
2. Enhanced Personnel Capacity
As a consultancy firm specializing communication
strategy aspect, we want to identify and nurture
the strengths of the personnel while also
addressing opportunities for development and
growth of communication system of the company.
Using a communication strategy as the frame will
enable us to identify gaps and opportunities to
come up with the best alternatives to the current
problem of the company.
3. Improved Personnel Relations Management
A strong communication strategy will include
gaining a deep understanding of who they are and
how they want to reach and engage their key
problem. In addition, it will help them to gain trust
to each other to achieve their organizational goals.

The following key questions will be used while
monitoring and evaluating the status of the
implementation of the project:
1. Are goals and objectives being achieved or not?
If they are, then acknowledge, reward and
communicate the progress. If not, then consider
the next questions below.
2. Will the goals be achieved according to the
timelines specified in the plan? If not, then why?
3. Should the deadlines for completion be changed (be
careful about making these changes -- know why
efforts are behind schedule before times are
changed)?
4. Do personnel have adequate resources (money,
equipment, facilities, training, etc.) to achieve the
goals?
5. Are the goals and objectives still realistic?
6. Should priorities be changed to put more focus on
achieving the goals?
7. Should the goals be changed (be careful about
making these changes -- know why efforts are not
achieving the goals before changing the goals)?
8. What can be learned from our monitoring and
evaluation in order to improve future planning
activities, and monitoring and evaluation
efforts?
