Telephone English tips

Do you know how to make and receive telephone calls in


English? Talking on the phone is more difficult than speaking
face-to-face, so improve your telephone tactics with these
useful expressions.

Who's calling please? This is a polite way to ask the name


of the caller.

I'd like to speak to... Use this phrase to give the name of the
person you want to speak to.

Speaking If you say "I'd like to speak to Shirley" and she is


the one who answered the phone, she would reply
"Speaking!", meaning This is Shirley speaking'.
Would you mind holding? If the line is busy, you should ask
if the caller is willing to wait for a few moments.

Would you like to leave a message? If the person you wish


to speak to is unavailable, the person answering the phone
can offer to take a message (write down the message) for
the caller.

Extension number You can use the extension number to get


through to individuals within a company.

I'll put you through to his office. Another way to say this is I'll
connect your call.

Sorry, you've dialed the wrong number. You might hear this
if you make a mistake and get through to the wrong person.

Essential expressions for managing a project in English

In business, skilled negotiation can be the difference between


making a million dollar contract and being fired. Here are some
effective pointers to help you come out on top in the negotiation
process.

Starting on a positive
The people who you are negotiating with may be business
competitors. To have productive negotiations with competitors
it's important to set a positive tone early on, establishing that
you can both overcome your differences. For example, "The
United States and Russia, England and France, and Germany

Many businesses have expressed concern that their minimal profit
margins could further dwindle over the next decade, with the
possible arrival of an era of “zero profits,” according to the results
of a survey released Tuesday.

The survey was conducted by 104 Job Bank, Global Views


Monthly and 30 Monthly on 1,058 business representatives from
May 21 – 25. It has a margin of error of plus or minus 2.21
percent.

Just over 80 percent of the respondents predicted that their


businesses will face a crisis of “profitless operations” by 2015.

This sense of crisis is most evident among small and medium

list of discussion items called an "agenda." The meeting leader
will start by drawing everyone's attention to the agenda. They'll
say: "Please look at your copy of the agenda. There are xx
items on the list today. Let's start with number xx."

Then, the key to a successful meeting is keeping it moving


forward. When it's time to move onto the next topic, say, "Now
that we've discussed..., let's move on to..." "Move on" is
commonly used in business settings and means to leave one
topic and start another.

Finishing the Meeting


Finishing a meeting requires a few phrases: summarizing
everything that's been discussed, thanking everyone for
coming, and then dismissing the meeting. It's not hard, though!
To summarize, start with: "To sum up..." Example: "To sum up,
we've determined the sales figures could be better and
discussed solutions." Then, thank everyone for attending:
"Thank you all for attending/coming." Let everyone know it's
okay to leave with, "The meeting is finished." Finally, if there's a
follow-up meeting say, "We'll see everyone next..."

Telephone English tips
The airline lost your baggage. The hotel laundry ruined your
favorite shirt. The taxi driver overcharged you. When you're
abroad, sometimes things go wrong. Now you can do
something about it! Use these tips when you want to express
an effective complaint in English.

No matter how unfair the situation, it's best to phrase your


complaint politely. In English, you'll sound more polite if you
use indirect language. Here are some examples:

I'm sorry to bother you ...


Starting a complaint with "I'm sorry to bother you" puts the
listener ?who may have heard many complaints that day ?at
ease. Use this phrase if the situation isn't that serious. For
example, "I'm sorry to bother you, but I wanted a baked
potato, not fries."
Can you help me with this?
Everyone would much rather be asked to do something than
told! So try phrasing your complaint as a request for help:
"Can you help me with this? My shirt came back from the
laundry missing buttons.“

I'm afraid there may be a misunderstanding.


This is a polite way of saying, "Your information is wrong.
Please fix it now." You'll most likely use this phrase if you
made reservations for a flight, hotel or restaurant, and when
you arrive, it's not what you expected. For instance, "I'm
afraid there may be a misunderstanding. I requested a non-
smoking room.“

I understand it's not your fault ...


Often when you make a complaint, you deal with a person
who was not directly responsible for the problem. But the
problem isn't your fault, either! This phrase is helpful when
you need swift action. Tell the person you're dealing with you
understand they're not at fault and then directly state the
problem: "I understand it's not your fault, but the airline
promised they would deliver my baggage yesterday.“

Excuse me, but I understood that ...


Using this phrase lets the person know you're well-informed
and are suspicious they might be trying to take advantage of
you. Don't say, "Hey! You're trying to cheat me!" Instead,
start indirectly by stating what you know to be true: "I
understood that the taxi ride to the airport was only 25
dollars." Then give them an opportunity to respond.
