RECAP

 The Need for Data Processing System

 Meaning of Data Processing
 Types of Data Processing
 Meaning and Importance of Manual Data
Processing
 Meaning and Importance of Computer Data
Processing

CCP505.5 2
Recap
 In Manual data processing
 The processing of data is done manually.
 Man has the ability to think logically, reason
and take decisions
 Man himself processes the data and arrives
at a result.

CCP505.5 3
OBJECTIVES

On completion of this period, you would

be able to about know
Manual data processing
Its advantages & disadvantages

CCP505.5 4
What are Operations of Manual
Data Processing
 How processing is done ?
 The User prepares a set of instructions he has
to follow
 He reads the given data and memorises it or
enters it in Files
 He performs the required arithmetic
calculations

CCP505.5 5
Processing
 He makes comparisons with the available
previous figures
 Based on the comparisons, a decision is
taken
 After taking a decision, he finally announces
the result or writes the result.

Advantages of Manual Data
Processing

 New Innovation
 Foresight
 Reasoning & Logical thinking
 Decision making & drawing conclusions
 Security
 Fixation of responsibilities
 Efficient auditing
 Automatic data validation
CCP505.5 7
Advantages of Manual Data
Processing (contd..)
New Innovations

 When a new unforeseen situation arises, the

user can handle it and execute the procedure
by innovating a new solution based on old
experience

CCP505.5 8
Advantages of Manual Data
Processing (contd..)

Foresight

 While in the case of Computer data processing,

the computer will not understand an unforeseen
situation and cannot give the results
 The program instructions are to be given well in
advance to execute the procedure in case of
computer data processing

CCP505.5 9
Advantages of Manual Data
Processing (contd..)
 Security
 Data security
 Data kept under lock and key
 Fixation of responsibilities
 Persons can be made responsible
for maintains of data

CCP505.5 10
Advantages of Manual Data
Processing (contd..)

 Efficient auditing
 Records are proof of the activities

 Data validation is easy

 As data are hand written, it is easy to
find errors and modify

CCP505.5 11
Advantages of Manual Data
Processing (contd..)
Reasoning & Logical thinking

 Man has the ability to reason the situations and think

logically which is not possible in the case of a
computer
 A computer, as it does not have intellect , cannot
think on its own and cannot reason

CCP505.5 12
Advantages of Manual Data
Processing (contd..)
Decision making and arriving at
Conclusions

 The user can reach at conclusions with

incomplete information also based on trial &
error by using his fast experience
 Based on the conclusions, the user has the
ability to take right decision at right time with
optimum resources

CCP505.5 13
Disadvantages Of Manual Data
Processing

 Slow processing-retrieval of data in time

consumption
 Integrating in difficult
 Less memory which may not be reliable
 Prone to Errors
 No guarantee of accurate results
 Inability to give consistent output
 Data duplication – redendoavly
 Back up costly- rewriting roll records in costly

CCP505.5 14
Disadvantages Of Manual Data
Processing (contd..)

Slow Processing

 A Computer can perform thousands of

calculations within one second.
 The user cannot perform the calculations with the
same speed and hence the manual processing is
slow when compared to computer processing

CCP505.5 15
Disadvantages Of Manual Data
Processing (contd..)
Less Memory
 The Human memory is not always reliable as
there is a chance of forgetting.
 In contrast, the computer memory is very
large and also reliable as whatever is stored
can be retrieved accurately and fastly.
Prone To Errors
 Human being can make errors and there is no
guarantee that the result is error free
CCP505.5 16
Disadvantages Of Manual Data
Processing (contd..)

Inaccurate Results

 A Computer constantly follows the instructions

provided to it and gives accurate results
accordingly
 Whereas a human being may not follow the
instructions all the time. There is a chance of
skipping the instructions and giving inaccurate
results.
CCP505.5 17
Disadvantages Of Manual Data
Processing (contd..)

Inconsistent Output
 A Human suffers from tiredness and lack of
concentration and hence does not give the
same result allways
 If 3 million calculations have to be performed, a
Computer will perform all the 3 million with
exactly same speed and accuracy as the first.

CCP505.5 18
Summary

 Manual data processing

 The advantages of Manual Data Processing
System
 The disadvantages of Manual Data Processing

CCP505.5 19
QUIZ

1.Computer Data Processing Is Always

Advantageous Over Manual Data Processing

 A) Yes, always
 B) No, not always

CCP505.5 20
Summary
 In the case of Reasoning and decision Making,
Manual data processing is beneficial over
computer data processing
 In the case of speedy processing and timely
accurate results, Computer data processing is
better.
