COURTESY:True courtesy involves being aware not only of the perspective of others but also their feelings. It is merely politeness insertions of please and thank-you. Courtesy comprises of the following points a. Being sincerely tactful, thoughtful and appreciative b. Use expressions showing respect c. Choose non-discriminatory expressions

The following tips may be kept in mind if you wish to achieve courtesy in communication: o Be sincere o Avoid anger o Refrain from preaching o Use positive words o Avoid negative words

CLARITY:In effective business communication the message should be very much clear. So that reader can understand it easily. You should always choose precise words. Always choose familiar and easy words. If you have a choice between long words and shorter one, always use shorter one.

Familiar 1-after 2-home 3-for example 4-pay 5-invoice

Next familiar words subsequent domicile e.g. remuneration statement for payments

Clarity in communication has following features: It makes understanding easier. Complete clarity of thoughts and ideas enhances the meaning of message. Choose short , familiar & conversational words Construct effective sentences and paragraphs by unity of idea and sequencing Achieve appropriate readability by using formal & informal language Include examples, illustrations & visual aids

CONCISENESS:Conciseness is saying what you want to say in the fewest possible words without sacrificing the other C qualities. A concise message is complete without being wordy.

Follow KISS instead of KILL.


To achieve conciseness, observe the following suggestions; Eliminate wordy expressions.

Wordy: At this time Concise: Now/At present Wordy: Due to the fact that Concise:As/Because

Include only relevant material. Be Focused


Stick to the purpose of message Delete irrelavent words Avoid giving long introduction

Avoid unnecessary repetition.


Use Shorter Name after the long once eg: ITDC Use Pronoun or initial eg:WHO, IT

CONCRETENESS:-Concrete

communication implies being particular and clear rather than fuzzy and general. Concreteness strengthens the confidence. Facts and figures being presented in the message should be specifc.

Concrete message has following features: Use specific facts and figures Put action into verbs Choose vivid image building words by comparison & figurative language (?) Use more adjectives and adverbs

If you want to be put in vague and general messages, its better to omit it altogether! Wasting your readers time is the Last thing you want in communications. For Example:Bad Example

Good Example

How much time do you spend every day packing your kids' lunches? No more! Just take a complete Lunchbox Wizard from your refrigerator each day to give your kids a healthy lunch and have more time to play or read with them!

CORRECTNESS:What is Correctness? What are features of Correctness? Correctness comprises of following points: Using right level of language Checking accuracy of figures, facts and words Maintaining acceptable writing mechanics

CONSIDERATION:Focusing on YOU instead of I and WE.


Eg:We attitude:-I am delighted to announce you, that we will be extending our hours to make shopping more convenient You attitude:-You will be able to shop in evening with the extended hours.

Showing audience benefits are interest in the receiver. Emphasize positive pleasant facts.
Goods in bad condition and without the bill will not be exchanged. Goods in good condition accompanied by bill can be exchanged.

COMPLETENESS:a) Providing all necessary Information b) Answer all question asked c) Give something extra when desirable.
